The Data Controller is NPA Recruit LTD at Duke House, Duke Street, Skipton, North Yorkshire, BD23 2HQ. We provide permanent and temporary recruitment services to clients looking to recruit personnel for their businesses. We also provide payroll services for contractors.

This Privacy Policy applies to the personal data of our Website Users, Candidates, Clients, Suppliers, and any other individuals we may contact to gather more information about our Candidates. Candidates; At our organisation, we prioritise the collection and utilisation of information that is directly relevant to determining the most suitable opportunities for you and assessing your eligibility throughout the recruitment process. This may include your CV, identification documents, educational background, employment history, professional references, and financial details. In some cases, we may also gather sensitive personal information such as health status, diversity details, or information regarding criminal records. Rest assured, we will only request and handle sensitive personal data with your explicit consent.
Clients; We collect and use only the information necessary to provide you, or people in your organisation with services such as finding the best available candidates for your opportunities.
Other data subjects; We collect and use only the information necessary to be able to contact you and pay you for the services you provide.
Website Users; We collect and use only the information necessary to improve your experience when using our website. This may include how, when and how often you visit us.
Where do we collect personal data about you from?
- The following are the different sources we may collect personal data about you from:Directly from you. This is information you provide while searching for a new opportunity and/or during the different recruitment stages, or during the course of our work with you to ensure that our relationship runs efficiently.
- From an agent/third party acting on your behalf. e.g. A Contractor’s Limited Company.
- Through publicly available sources. For example;
- Job Boards
- By Reference or word of mouth. For example, you may be recommended by a friend, a former employer, a former colleague or even a present employer.
Where we collect your information through publicly available sources as set out above, we may do this with the aid of various software programs’. These programs’ are given parameters on the requirements of a role and search through publicly available sources to find such candidates. These programs’ are designed to only output information on candidates that meet the search criteria. The parameters of this program are restricted to only searching for candidate information from public sites where there is a reasonable expectation that such information may be collected and further processed by job recruiters for the purpose of sourcing candidates for different job roles.
How do we use your personal data?
Candidates; At NPA Recruit LTD, your personal data is utilised to connect you with potential employers based on your skills and experience. Initially, we will gather basic information such as your contact details, job role, and experience, which we will then share with the client seeking personnel. If you are selected by the client and progress to the next stage, we will collect more detailed information from you during interviews and beyond. Additionally, we may use your data to provide you with relevant job suggestions and other interesting information.
Clients; We use your personal data to ensure that we can find the right candidates for the opportunities that you may have or for contractual obligations.
Suppliers; We use your personal data to ensure that we can contact you and for contractual obligations.
How long do we keep your personal data for?
We will only retain your information for as long as is necessary for us to use your information as described above or to comply with our legal obligations. However, we may retain some of your information after you cease to use our services, if we believe in good faith that it is necessary to meet our legal obligations, such as retaining the information for tax and accounting purposes.
When determining the relevant retention periods, we will take into account factors including:
(a) our contractual obligations and rights in relation to the information involved;
(b) legal obligation(s) under applicable law to retain data for a certain period of time;
(c) statute of limitations under applicable law(s);
(d) (potential) disputes;
(e) if you have made a request to have your information deleted; and
(f) guidelines issued by relevant data protection authorities.
Otherwise, we securely erase your information once this is no longer needed.

Candidates; We take the security and confidentiality of your personal data seriously and only share it with third parties who have a legitimate need to access it in order to provide you with our services. We ensure that any third parties we work with are compliant with data protection laws and have adequate security measures in place to protect your information. If you have any concerns about how your data is being shared, please let us know and we will do our best to address your concerns.
Clients; We share your data with candidates during the course of providing recruitment services to you, and with third parties as part of our contractual relationship.
Suppliers; We share your data third parties as part of our contractual relationship.
What legal basis do we have for using your information?
For prospective candidates, contractors, referees, and clients, we process your personal data under the legitimate interest legal basis. This is necessary for us to assess suitability for potential roles, find potential candidates, and contact clients, referees, and suppliers. Before proceeding with such processing, we conduct a balancing test to ensure that our interests do not outweigh your fundamental rights to privacy. We keep records of these balancing tests, and you can request more information about them by contacting us.
If you are interviewed and submitted as a candidate, we may process more detailed personal data, including sensitive information such as health information. In such cases, we will always ask for your consent before proceeding with such processing. For activities that require consent, such as contacting candidates about other recruitment-related services, we will ask for it. We rely on automatic opt-in consent for these activities if you have previously engaged with us by submitting a CV, applying for a job, or registering on our website. This means we assume your consent unless you opt-out. Explicit consent is required for other types of e-marketing.
What happens if you do not provide us with the information we request or ask that we stop processing your information?
Failure to provide the required personal data or withdrawing your consent for processing may result in us being unable to connect you with suitable job opportunities.
Do we make automated decisions concerning you?
During the recruitment process, we may utilise automated decision-making processes to assess candidates. Candidates are subject to a structured screening process to determine if they meet the specific criteria for a particular position. This evaluation may involve fully automated procedures such as online pre-screening tests. If a candidate is found to be unsuitable based solely on automated assessment, we will only proceed with this activity if the candidate has given explicit consent. Additionally, we may conduct personality profiling with the candidate’s consent.
Do we use Cookies to collect personal data on you?
We do not collect any information collected by Cookies within the recruitment process – all information used by NPA Recruit LTD is provided by the candidate, client or supplier in any transmission form (verbal, written, electronic etc)
Do we transfer your data outside the EEA?
No, we do not transfer personal data out of the EEA.
How do we safeguard your personal data?
We take the security of your data very seriously and have put in place appropriate measures that are designed to prevent unauthorised access to or misuse of your personal data.
What rights do you have in relation to the data we hold on you?

1.The right to be informed
You have the right to be provided with clear, transparent and easily understandable information about how we use your information and your rights. This is why we are providing you with the information in this Policy.
